    About the role

    The primary objective of this role is financial and business management of the Brisbane Grammar School (BGS) P&F Auxiliary to meet its core service to the BGS community.

    Leadership

    • Provide effective leadership of staff and volunteers
    • Direct the operation of P&F Auxiliary
    • Drive and support operational and administrative efficiency
    • Plan, organise and lead effective meetings
    • Engage in talent identification and selection processes
    • Maintain high standards and expectations across the P&F Auxiliary team
    • Use data to inform decisions, report progress and guide actions
    • Conduct a program of planned performance reviews
    • Advance the BGS brand through timely, informative communication regarding school values

    Finance, Administration & Organisation

    • Maintain all financial records electronically on the P&F Auxiliary's finance system
    • Manage document retention and archival of P&F Auxiliary records as required
    • Transfer Monitor reports into Xero
    • Prepare Financial Statements and meeting reports for the P&F Auxiliary, the P&F Association, and the Commercial Committee, as required
    • Liaise with the P&F Association Auditor and the Treasurer of the P&F Association on all financial matters pertaining to P&F Auxiliary
    • Prepare P&F Auxiliary's Statutory Financial Statements for submission to the Auditor
    • Manage the Accounts Payable and Accounts Receivable functions
    • Liaise with the Grammar shop or Tuckshop Convenors regarding payment approvals in accordance with the P&F Association Inc Treasury Policy, P&F Auxiliary policies, and approved delegations of authority
    • Liaise with Grammar shop and Tuckshop Conveners regarding cost management
    • Liaise with bank account manager
    • Liaise with School's CFO to manage funds on deposit
    • Manage cash flow and prepare reports as required

    Human Resources Management

    • Manage the recruitment of P&F Auxiliary staff
    • Manage P&F Auxiliary staff
    • Conduct staff performance reviews in conjunction with the Grammar shop and Tuckshop Conveners
    • Keep abreast of School's EBA and all policies and procedures affecting P&F Auxiliary business to ensure compliance

    Compliance and Risk

    • Manage relevant compliance obligations related to the P&F Auxiliary, including but not limited to GST and risk management
    • Review all new contractual commitments of the P&F Auxiliary, including review of contracts and agreements

    Fostering Engagement with the BGS Parent Community

    • Attend and report to Commercial Committee meetings
    • Liaise as required with the School's senior leadership team regarding P&F Auxiliary and community matters as required
    • Liaise weekly with the P&F Auxiliary President, or nominee, and report as required to the P&F Auxiliary Executive on business/community matters
    • Organise P&F Auxiliary Executive and Auxiliary general meetings (including logistics)
    • Attend P&F Auxiliary Executive and general meetings
    • Assist with organisation of the P&F Auxiliary's BGS Open Day stalls
    • Any other duties as required by the P&F Auxiliary Executive
    • Assist the P&F Auxiliary Executive and Year Level Parent Representatives with administration and correspondence where necessary
    • Maintain P&F Auxiliary community records as required
    • Liaise with Year Level Parent Representatives regarding their respective functions each term and other School

    Other Duties

    • Other reasonable duties assigned in line with skill and expertise.

    Qualifications

    • Professional accounting qualification such as CA, CPA, or international equivalent (preferred)
    • Probity checks
    • Cleared probity status, including maintaining a Working with Children Check ('Blue Card') Exceptional ability to manage people

    Skills

    • Exceptional ability to positively communicated and interact with, multiple and diverse stakeholder groups
    • Current knowledge of pronouncements of the Australian Accounting Standards Board and the reporting requirements stipulated by the ACNC
    • Solid experience working in a professional corporate/operational finance environment (> 8 years)
    • Experience in the preparation of statutory Financial Reports in accordance with Australian Accounting Standards
    • Experience in commercial retail operations
    • Experience in managing IT systems and processes
    • Demonstrated stewardship skills around balance sheet quality and income statement reporting
    • Ability to accurately forecast cash flows
    • Competent spreadsheet and modelling skills including graphical analysis, and robust data quality methods
    • Sound Microsoft Office skills
