    About the role

    The Property Coordinator is primarily responsible for providing the day-to-day management of Property related issues raised through the Staff Assist inbox or Facilities Response Centre online system, providing a high level of customer service to all business requirements in Property, Purchasing, Housekeeping & General Staff Enquiries across all WorkSafe Victoria sites.

    The Property Coordinator engages with a wide range of service providers and stakeholders (both internal and external) to ensure matters are dealt with in an efficient and effective manner whilst supporting the Property Manager in managing significant projects, tenders, lease and contract negotiations and system improvements.

    The Property Coordinator also has responsibility for a range of smaller scale projects and day to day Property operations.

    Key accountabilities

    • Researching, analysing and providing recommendations to overcome issues in relation to Property, building and essential services to all WorkSafe Victoria sites
    • Assisting the Property Manager by utilising analysis of trends and research to identify opportunities for improved effectiveness, service and cost reductions particularly in relation to purchasing and reporting on resource usage and waste management and accommodation projects post implementation reviews
    • Preparing tender and purchasing exemptions, purchasing requisitions and ensure supplier/contractor performance
    • Assisting the Property Manager by undertaking accommodation projects including scoping to establish size, purpose and outcomes of recommendations under the direction of the Property Manager
    • Structuring and delivering one or multiple concurrent mini-projects (eg: setting up a demonstration area, removing excess furniture, relocating equipment and staff).
    • Any other property function tasks as directed by the Property Manager

    About you

    You have a strong property management background with experience in a project management related field. Your written and oral communication skills are highly developed and you have a demonstrated ability to work well as part of a team with exceptional stakeholder management skills.

    • Experience in and a strong knowledge of, contract and lease management and the aptitude to develop strong negotiation skills, particularly in relation to commercial lease & contract terms & conditions
    • Experience in managing transactions that may involve significant amounts of money, confidential information and broader political, social and reputation issues
    • Demonstrated ability to liaise in a professional manner with a range of internal and external clients/stakeholders
    • Ability to undertake effective research and analysis and produce accurate reports and material.
