    This position, which sits in the Governance and Council Business Team, plays a key role in the administration of Council meetings, citizenship ceremonies, assessment of naming proposals and a variety of other tasks and projects.

    Preparing high quality, accurate documentation and planning work to ensure its delivery within specific timeframes are key components of the position.


    What you'll be doing:
    Preparing and distributing agendas and minutes for Council Meetings and/or Council Briefing Sessions.

    Attending Council Meetings and Hearings to record the meeting minutes, to assist members of the public to participate in the meeting process and to provide any other assistance required.

    Assisting with all other Council meeting related administrative procedures.
    Attending Executive Leadership Team meetings to assist with agenda development.

    To prepare and process authorisation requests to enable Council staff to be appointed as Authorised Officers under various pieces of state legislation.

    Update and maintain Council's policy register.
    Ensure that newly adopted policies are published to Council's website within 24 hours of adoption.

    To assist the Coordinator Governance and Council Business with processing Place Name and Memorial Applications in accordance with Council policy and legislative requirements.

    Maintain all registers and ensure sealing of appropriate documents.

    Entering into Council's Electronic document management system actions arising from Council meetings; to produce regular reports on Governance 'open' actions arising from Council meetings; to close Governance 'open' actions arising from council meetings after they have been actioned and produce reports as required.

    The skills and experience you'll bring to the role:

    Tertiary studies in governance or administration or Local Government with some experience OR lesser formal qualifications with relevant experience in governance or administration.

    Well-developed verbal and written communication skills including the ability to prepare and provide high quality, accurate documentation, reports and correspondence.

    A commitment and proven ability to provide the highest level of customer service in both an internal and external customer environment.

    Demonstrated ability to organise and plan work to ensure the delivery is within specific timeframes.
    Demonstrated proficiency in using Microsoft Office applications including Word, Excel, Power Point and Microsoft Outlook.

    Demonstrated ability to gain cooperation and communicate both verbally and in written form to a broad range of people form diverse backgrounds and cultures.
