    What you'll be doing:


    Respond to enrolment enquiries (by phone, email, web form) for three and four-year-old kindergarten in a consistent, calm, courteous manner.

    Seek opportunities to cross-promote Hume services and direct families towards enrolling in a relevant Hume service.

    Enter customer data into the appropriate database/CRM system-currently Enrol Now during enquiry management and seek to minimise the number of actions a parent/family needs to take to enrol in a Hume service.

    Ensure that every customer receives correspondence from Hume at each stage of their journey in our customer 'life cycle'.

    Liaise with Hume Council Central enrolment officer to receive customer enrolment data and ensure that Hume City Council is compliant with relevant kindergarten enrolment policies.

    Load data lists and information into the Hume and DE Kindergarten information management systems (KIMS) and contribute to reporting requirements in accordance with funding guidelines.

    Comply with all Hume policies and relevant legislation in relation to customer enrolment and data including the Education and Care Services National Regulations and Act and Kindergarten Funding Guidelines and The Privacy Act.

    Follow up customer enquiries and waiting list customers, and undertake activities to increase enrolment rates as determined with Early Years operations team.

    Distribute information and provide regular updates to EY Leadership team and Hume staff regarding enrolment rates, groups and data for services.

    Support Early Childhood Services staff to develop, maintain and improve office procedures and protocols, to meet service reporting requirements.
    Collaborate with Regional Co-ordinators for annual session planning to set capacities across regions for each upcoming year.
    Update KIMS regularly and provide information required to secure funding from Department of Education according to kindergarten funding guidelines.
    (Annual confirmation, census, second year funding, ESK, health care card updates, maternity leave funding).
    Provide information and feedback obtained during direct client service to Early Years Leadership Team.
    The skills and experience you'll bring to the role:

    Ability to communicate effectively and gain cooperation both verbally and in written form with a range of people from diverse backgrounds and cultures.

    The ability to speak multiple languages is advantageous.
    Customer service focused with the ability to maintain effective working relationships with internal and external customers.
    Demonstrated ability to draft routine correspondence, documentation and reports for diverse groups of audiences.
    A nationally recognised Certificate in Administration or similar, or relevant work experience in an administrative and customer service capacity.
    Demonstrated experience in the use of software packages such as MS Office, or Preschool Enrolment programs (KIMS, Enrol Now).
    Office organisation skills and the ability to develop and maintain appropriate administration procedures and systems.
    Excellent level of customer service skills.
    Strong communication skills, both verbally and in written form
    Proven ability to organise, prioritise and complete tasks within strict timelines often with conflicting demands.
