    About the role:
    We are currently seeking an experienced Facilities Officer to join our Fortitude Valley office.

    Reporting to the Executive Assistant to the President Australia, the scope of the role will to be provide administrative support and work collaboratively with the Brisbane Executive Assistants and Brisbane personnel as well as be the first point of contact in our corporate office.

    Duties will include:

  • Logging and tracking of office maintenance and afterhours air conditioning through client portals
  • Carparking updates for existing and new users via a client portal
  • Ensuring stationery and kitchen supplies are maintained
  • Liaising with cleaning staff through communication register
  • Processing of facilities invoices through SAP
  • Developing relationships with office supply representatives
  • Assisting staff with locker requests
  • Maintaining parking, lockers, supplier registers
  • Attend weekly meetings and provide facilities updates
  • Catering and assistance with events
  • Based at reception you will be responsible for maintaining the meeting rooms and visitor spaces
  • Maintain effective communications and working relationships with all levels of staff and clients internally and externally.
  • Manage general email inbox and direct email enquiries effectively
  • Answer and direct phone calls and take messages.
  • Handle incoming and outgoing mail and courier deliveries.

    About you:

  • Previous experience in facilities or in a similar role.
  • Exceptional organisation and communication skills and high attention to detail.
  • Demonstrate the ability to meet deadlines, prioritise tasks and work autonomously.
  • Exceptional ability in handling highly confidential matters.
  • Intermediate MS Office Suite skills.
  • SAP highly regarded but not essential
