    The purpose of this ongoing full-time role is to provide qualityand confidential executive level administrative support to theChief Executive Defence SA to facilitate the achievement of theagency's strategic objectives.

    • Diary and email management for the CE Defence SA. Thisincludes arranging emails to receive appropriate priority fromthe CE, anticipating the CE's needs and priorities in theplanning of daily events and commitments, and arrangingappointments and meetings by taking the initiative to resolveany conflicts in appointments.
    • Perform general administration tasks including documentmanagement, prepare/assemble materials and documents formeetings, catering, equipment set up, maintaining the CEdistribution list and arranging couriers as required by theCE.
    • Manage the flow of incoming/outgoing correspondence for theOffice of the CE whilst also being required at times to assistwith the whole of organisation correspondencecoordination.
    • Coordinate meetings for the CE, including coordination ofattendees, organising pre-briefs where required and preparationof meeting minutes.
    • Communicate and liaise with all levels of the public andprivate sector, Senior Departmental Officers, and MinisterialOfficers on behalf of the CE.
    • Process payments of invoices for the CE.

    We are looking for a vibrant communicator who thriveson providing excellent customer service at all levels to internaland external stakeholders.

    The successful candidate will have great organisational and timemanagement skills, including the ability to prioritise and managehigh volumes of work in a rapidly changing environment. Youwill have excellent interpersonal skills, be a quick thinker andlove the variety that this job will bring.

    You will be a suitably qualified and experienced administrativespecialist who enjoys getting involved in a range of matters andissues that Defence SA deals with on a daily basis. You will be thefront face of the Chief Executive's office and be able totake the initiative to research and provide options on a range ofsolutions as required.

    You will also have a proven ability to provide confidentialexecutive support to a senior executive and dealing with highlysensitive and/or political issues with tact and diplomacy, whilstmaintaining complete confidentiality.

    Key Selection Criteria:

    • Demonstrated experience in providing specialised high levelexecutive support.
    • High level of communication skills with experience inliaising with internal and external stakeholders and seniorexecutives.
    • Proven experience in organising and maintaining relevantdocumentation for meetings with experience in preparing board,committee and meeting submissions, papers and minutes andfollow up on actions arising.
    • Government experience is highly regarded but notessential.
    • Experience in the defence or space sector will be highlyregarded.
    • Demonstrated ability to develop and implement innovativesolutions to and adapt to changes within a fast-paced, dynamicenvironment.
    • Ability to work under pressure.

    Special Conditions

    This is an ongoing position. The incumbent is requiredto enter into a performance agreement. Work outside of normal hourswill be required and the position may require interstate travelinvolving overnight absences.

    The successful applicant must be willing to obtain an NV1 securityclearance.

    Remuneration

    ASO5 - $84,522 min - $94,003 max per annum, plussuperannuation
