About the Role The Administration Assistant provides delivery of high level, pro-active day to day management and administration from Brisbane to various Santos Onshore Assets and their respective Field Based Team Members. Accountabilities are delivered in line with the Santos company values and Santos Management System SMS . Key responsibilities of the role include - Weekly monthly meeting management of agendas packs actions reports - Coordination of office requirements including COVID floor capacity management - Managing and distributing COVID safe plans for your respective division - Coordination of workshops offsites field Operation Centre tours as required including logistics eg STFH QPRs ATL Away Days - Onboarding of new starters and temporary employees ensuring inductions and relevant training is completed for office and field based staff - Travel and accommodation bookings for field roster Operations, Maintenance and Production personnel - Maintain and update filing systems hard copy and electronic, ie Sharepoint to ensure information is well organised and readily accessible, with appropriate security and version control - Raise purchase and drawdown requisitions though EPIC or Oracle iProcurement, and make payments to suppliers via Visa Corporate Card, and recognise which method to use in a given situation - Process payments of invoices and ensure expenses are reconciled in a timely manner via the Oracle financials system - Provide assistance with clerical and administrative tasks to the site team including but not limited to word processing, formatting and other adhoc administration tasks. About You - Administrative experience in a professional services environment ideally resources sector - Exceptional communication skills with an emphasis on collaboration and building positive internal relationships - Proficient in the use of Microsoft business applications - The ability to work autonomously and prioritise conflicting demands - Experience coordinating travel and accommodation for a large number of personnel - Highly proficient in Microsoft Office - SAP experience is preferable but not a requirement - Excellent attention to detail - Comfortable working within a fast-paced environment with the ability to problem solve and think decisively on your feet - Enthusiastic and pro-active attitude with an appetite for continuous improvement.
