About the role:

Our client is currently seeking a Transport Coordinator to manage product distribution processes from their head facility in Melbourne South-East/Bayside.

The successful candidate will have a thorough knowledge of supply chain management and an understanding of warehouse procedures, including monitoring stock levels, dispatching orders, and coordinating transportation vehicles. You must also be familiar with safety processes and legal regulations relating to NHVR loading requirements.

You will be able to demonstrate exceptional communication skills and a friendly, professional attitude when engaging with customers, delivery contractors and other employees. You will take ownership of all logistical processes, proactively seeking solutions to refine and streamline operations with the assistance of your team members.

Reporting to the Head of Sales and Marketing, this is a crucial role requiring constant liaison with customers, transport companies (including company sub-contractors), factory branches and loaders, to ensure all supply chain order and delivery processes are managed correctly and efficiently. The ultimate goal is to ensure that all deliveries are handled safely and within budget, within timelines that achieve a high level of customer satisfaction.

Key responsibilities include:

  • Communicating effectively with customers in response to their delivery requirements
  • Coordinate daily and weekly delivery schedules
  • Arrange sales orders into designated loads within load weight regulations, planning routes and scheduling for multi-drop deliveries
  • Check all orders for availability of product
  • Regular communication with finance department to ensure credit approval or payment prior to dispatch of goods
  • Sourcing and booking of sub-contractors, ensuring they deliver within agreed terms
  • Receipt of all inwards goods and allocation to relevant branches
  • Ongoing research and development of transport relationships, adopting best practices in relation to transport programming
  • Review, negotiate and report on transportation costs
  • Stakeholder management; adequately and proactively communicate with Accounts and Customer Experience departments, and most importantly customers
  • Create cartage sheets to reconcile transport costs
  • Handle claims for damaged goods and return requests.
  • Skills and attributes required:

  • At least 3 years experience in transport management
  • Highly effective communication skills, both verbal and written.
  • Interpersonal skills and relationship building
  • Thrive in a busy and face fast paced environment.
  • A level head, particularly when dealing with tired drivers and disgruntled customers
  • Functional knowledge of supply chain management
  • Technical capability in electronic systems and MS Office programs such as Outlook, Excel, Word
  • Strong time management skills and organisational skills
  • An analytic mind with excellent problem solving skills
