    About Department

    The Medical Records Department supports the delivery of Health Information Management to CGH.

    This is achieved through:

    • support to the clinical areas to meet high quality documentation standards,
    • analysing business performance and reconciling patient activity,
    • provision of information required by external agencies,
    • coding of each patient episode to reflect the work of the hospital,
    • ensuring compliance with Privacy Laws and Freedom of Information requirements.

    About the Role

    This position will provide leadership and administrative support to the clerical staff within the medical record department at an operational level. The role will assist the clerical staff in the administration of processing medicolegal / FOI requests.

    In addition, this position will support CGH data collection, data entry, data integrity, reporting and analysis. The applicant will work closely with the GM Business Performance to provide knowledge management services and to improve business performance.

    Duties

    • Provide effective supervision, mentoring, leadership and support to the Medical Records clerical staff
    • Assist and support clerical staff in developing service benchmarks and implementing performance improvement activities to enhance service delivery
    • Support PAS development, updates and integration across the health service, including training and data integrity support
    • Manage health data reporting and reconciliation processes for VAED, VEMD and HealthCollect datasets including VINAH, ensuring timely submission as well as the integrity and accuracy of patient data submitted.
    • Analyse CGH Health information to support the activities of the team and the needs of CGH.
    • Manage the Electronic Medical Record systems and any associated projects.
    • Manage the Freedom of Information, medico-legal and Privacy Officer functions of the hospital and associated sites.
    • To manage the staff responsible for the coding of inpatient episodes using ICD-10-AM and other available resources within set timelines and in accordance with Australian coding standards.
    • Provide CGH with accurate case mix information by ensuring quality and timely morbidity coded data collection.
    • Liaise with clinical staff in regards to coding queries and the documentation improvement cycle.
    • To educate new CGH staff as part of the orientation program in regards to privacy and confidentiality, coding standards and any other requirements of record keeping.
    • To maintain current knowledge of developments in Health Information Management and clinical coding.
    • Co-ordinate Health Information Management students.
    • Participate in CGH working groups and committees as appropriate.
    • Ensure the Management Team is informed of any practices that may inhibit the delivery of a high standard of patient/client care.
    • Contribute to the establishment and maintenance of strategic relationships with other departments, other professionals and agencies.

    About You

    • You are currently or ready to be a team leader.
    • You display strong professional communication and inter-personal skills.
    • You are eligibility for membership of the Health Information Management Association of Australia.
    • You have sound knowledge of legislation, policies and standards relevant to Health Information Services.
    • You have excellent coding skills using ICD-10-AM and understanding of coding standards.
