    Institutional Sales Service Associate

    THE ROLE

    1. Perform administrative duties to assist Country Head/Senior Managing Director - Sales & RM. Communicate messages efficiently and check emails and update appointments regularly on the calendar throughout the working day.
    2. Utilise internal and external information sources to help build background information for client/prospect/consultant strategy papers and briefing notes.
    3. Monitor industry press for relevant pieces on clients, investment topics, and industry themes to ensure the sales team is informed.
    4. Assist in leave management, sales training, and internal/external conference of the Sales & Relationship and Marketing teams.
    5. Responsible for booking international/domestic travel and visa arrangements for the sales team. Assist in all logistics regarding business trips and conferences.
    6. Act as a primary resource in coordinating details, logistics, and materials relative to institutional sales prospect meetings and client meetings.
    7. Manage non-product specific roadshows according to the Roadshow Checklist document.
    8. Work with the relevant business units to create, produce, and distribute accurate, compliant, customized sales and marketing presentations and review books.
    9. Manage in-country transport for internal and external visitors related to sales roadshow obligations.
    10. Act as the liaison to obtain Compliance and Legal pre-clearance approvals on all gifts and entertainments.
    11. Utilize CRM database to maintain and proactively track upcoming meetings, calls, contacts, and activities within assigned coverage.
    12. Perform regular checks to ensure new client data flows through properly to the CRM database and other appropriate systems.
    13. Compose, type, edit, proofread, and check reports, letters, and other documents which may be complex or confidential in nature.
    14. Act as back-up to the Office Assistant to ensure smooth and efficient office operations.
    15. Assist other teams within the department and perform additional duties as requested by the manager.

    WHAT WE ARE LOOKING FOR

    1. Associates' Degree or equivalent experience.
    2. Minimum of three to five years of experience in administration/coordination is preferred but it is not a prerequisite.
    3. Self-motivated and ability to take initiative.
    4. Strong organizational, interpersonal, and communication skills. Attention to detail.
    5. Strong computer skills including proficiency in Microsoft Office: Word, Excel, PowerPoint, & Access.
    6. Able to work within and enjoy a team environment.
