    ABOUT THE POSITION:

    The primary responsibility of the Senior Event Operations Plannerwill be to work with clients to successfully plan and implement large scale events and to provide daily supervision and guidance to the event operations team.

    Some of the key duties include:

    • Work as a team leader and provide guidance for the Event Operations Planners and Event Operations Supervisors, including daily task allocation and rostering
    • Work with high profile clients to prepare complex customised event documentation including, but not limited to, large scale events. Read, review, approve and communicate relevant event information; implement the event plans during the Hire Licence Period
    • Coordinate and lead event debriefs to identify areas to improve processes relating to the planning and delivery of events; implement process improvements where appropriate
    • Monitor activities within each event venue and surrounding precinct to ensure clients and contractors are working in a manner within OH&S requirements providing a safe environment including acting as Warden for emergency evacuations; Ensure any risks and incidents are reported in the appropriate manner
    • Work with clients, contractors, visitors and internal stakeholders during the hire licence period to coordinate the resolution of operational issues to ensure client satisfaction without compromising safety or security and in line with standard operating procedures
    • Monitor the special requirements at each venue to ensure damage is minimised and the condition of the building is maintained in line with Heritage Victoria's requirements
    • Provide operational support to Museums Victoria's caterers. Facilitate consultative processes and liaise with internal stakeholders. Oversee the event-specific venue related services (e.g. car parking, kiosk, audio visual, equipment hire, facilities and specialist products/services) during hire licence periods to ensure client satisfaction and compliance with Museums Victoria policies and procedures. Identify and research improvements to event service
    • Enhance the client relationship at every opportunity by delivering consistent and continuous levels of service during the event planning, on site and review stages
    • Ensure the completion of complex event related documentation such as, but not limited to: event checklists, event reports, risk assessments, maintenance reports, permits, and engineering assessments
    • Work collaboratively across the department and organisation to contribute to achieving the commercial objectives

    The successful applicant will have:

    • Demonstrated experience in supervising and mentoring a team including training, rostering and daily supervision
    • Demonstrated significant experience in the events industry, including a current and detailed working knowledge of current building codes, fire safety, risk management, and regulatory requirements, including Health and Safety, Food Handling & Preparation and Liquor Licensing
    • Demonstrated significant experience in the development of detailed event related plans for large scale complex events
    • Excellent communication and interpersonal skills and the ability to work well in a small team, facilitating complex tasks without direct supervision

    OTHER INFORMATION

    This is a full-time Parental Leave cover contract (14 months). The salary on offer is $84,166 based of grade (pro rata) + 11% superannuation.
